Executive Assistant – Client Operations (part-time)

With a diverse portfolio of clients from seed stage launches to later stage and public companies, we partner with leadership teams to help drive growth at every step of the cycle.
At RAISE, the Executive Assistant – Client Operations supports the client-facing team to ensure the highest level of service to the companies we work with across the entire client lifecycle. Partnering with a highly seasoned team of PR professionals, this individual supports the operational cadence of our firm’s media relations and marketing activities.
Responsibilities:
With clients being top of mind, your key focus will be to act as an extension of our team:
- Manager calendars. Collaborate with executives on calendar, scheduling all internal and external meetings and phone calls
- Support client service cadence. Manage/implement activities including:
- Ensuring the timely creation of weekly client meeting agendas and updates
- Supporting the preparation and refinement of client materials, including key strategic presentations and other key correspondence
- Documenting and sharing important information related to client service
- Updating and tracking action items in the company’s project management system
- Ensure client service standards. Closely partner with company leaders to track milestones, timelines, and deliverables and update project plans
- Communicate across multiple teams. Work with the team to distribute information related to client brainstorming sessions, weekly meetings, and strategy reviews. Interface directly with other senior executives and clients – your ability to work well with people on all levels is a very important part of your job
- Know your team. Develop a strong working knowledge of our business and our team so that you can anticipate needs and be proactive
- Support marketing implementation. Track and manage the RAISE annual marketing plan by planning meetings, documenting priorities and supporting the execution of regular marketing initiatives
Qualifications
- Proven track record: Experience supporting executives and their teams
- Professional services: 3-5+ years of experience supporting professional services teams – marketing, PR and advertising experience a plus
- Detail oriented: Sees the big picture, but sweats the small stuff to deliver high quality work with top notch project management and time management skills
- Problem solver: Believes that every challenge has a solution—and that sometimes the solution needs to be created
- Self-starter: Thrives in a fast-growing company, and enjoys being proactive by jumping in and helping wherever there are new opportunities
- Outcomes oriented: Successfully serves as the glue between internal and external teams
